Moving To an Online QHSE Platform

The Hitma Group supplies various technical products and services for industrial applications. The different products and services are performed by different business activities. This diverse range of products and services requires the best quality with an appropriate quality management system. The quality management system that was previously used by the Hitma Group had the following challenges:

  • Labor intensive in maintenance.
  • Complex links between documents.
  • Manual version control.
  • No separation in documents for employees.

The Hitma Group also experienced strong growth. Based on these developments, the organization started looking for a quality management system that offers support to the various business activities and is future-proof against the growth of the various activities.

When switching, Hitma had the following requirements for an implementation to Qooling. A central structure with guidelines (procedure) from the parent company linked to the own interpretation of subsidiaries:

  • Document management with automatic versioning.
  • Decentralized process ownership and responsibility.
  • Authorization structure with privileges.

Improve with the Platform

The Hitma Group has implemented its quality management system with Qooling in a short time. The challenges, such as updating documents, version management, and separation of documents between different companies and departments are a thing of the past after the implementation of the Qooling platform.

The Qooling platform also contributes to creating engagement in quality. Within Hitma Group, the process owners are responsible for their procedures and work instructions, including keeping these documents up-to-date. The quality department has a controlling function by assessing proposed changes from the process owners in the procedures and work instructions.

The quality department is responsible for the procedures relating to the standards. These procedures apply to any business activity. With the implementation of Qooling, the quality officers can easily share these procedures with the underlying business activities. In the past, these procedures were stored in different places, but the procedures can now be found in one place.

Implementation & Qooling

The intake interview was in April, the kick-off was July 1st and then we were up and running. The customer success manager from Qooling thought along with Hitma during the set-up and implementation. Hitma has a complex organizational structure, and Qooling has translated this well and simply within the platform, making it easier to use.

Qooling is a very user-friendly quality management platform and is highly recommended. The platform has now been recommended several times to partners and suppliers.
